DoIT Project Definitions

DoIT defines projects as unique, one-time endeavors consisting of more than one activity with a defined timeframe and deliverables.

  • Project is sponsored by a campus division other than DoIT with significant DoIT involvement.
  • Approval from sponsoring division leadership and DoIT leadership required to commit employee time, resources, and institutional funds.
  • Must be tracked through DoIT PMO processes with regular updates to sponsoring division, DoIT leadership, and appropriate campus committees.

Divisional Projects

  • Resourced by two or more DoIT departments in most cases.
  • Must be tracked through DoIT PMO processes with regular updates to DoIT leadership and appropriate campus committees.
  • Divisional projects should be proposed by members of DoIT following this process.

DoIT Departmental projects are overwhelmingly resourced by one DoIT department proposing the project, and tracking is not required through the DoIT PMO.


Institutional Project Process

Any project proposed by a division other than DoIT that requires significant IT involvement should be submitted to DoIT’s PMO.

How do I submit a Project?

  1. Start with the Idea Form
    The initial idea for a project should be submitted via the Idea Form to the DoIT PMO. The proposing division should have support from division leaders.
  2. Discovery & Stakeholder Identification
    The DoIT PMO will assist in discovery with the proposing division and key stakeholders. The idea may be presented to campus committees for feedback.
  3. Project Proposal Form
    If campus committees agree that the value provided is worthwhile, the sponsoring division will submit the finalized Project Proposal to the DoIT PMO.
  4. Approval
    DoIT and all involved divisions will discuss the project and confirm any necessary details. The CIO and sponsoring division lead will provide formal approval.
  5. Project Begins
    If the project is approved, it will be tracked in Smartsheet according to DoIT’s PMO processes with updates for stakeholders and committees.
